CAASS makes sending text and emails to guardians a seamless process through its integrated notification capabilities. All schools using CAASS to scan students into the building each morning can have CAASS send notifications to parents when their child scans or when an administrator enters student related information into CAASS.

Uses of CAASS Guardian Notifications
CAASS can be used to send a group message to a list of guardians. The types of messages CAASS sends include notifications for:

  • Scanning into the building
  • Being late to school
  • Absent from school
  • Cutting classes
  • Incident notifications
  • Leaving the building
  • Batch message blasts

I already have CAASS, is there an additional charge to use Guardian notification?
No. Basic Guardian Notification is an integrated component of CAASS. You can send unlimited text and emails.

I have CAASS and I want to send messages to parents; how do I get started?
First, you need the guardian’s contact information and the list of message types the guardian wants to receive. This information can be collected using CAASS’ Primary Guardian Opt-In Letter. The letter can be generated and distributed to all guardians to fill out and return to the school. The email and phone information collected on the letter is entered into ATS. The requested message types selected on the letter are entered into CAASS.
Second, you need to set up the message templates for each message type. Once these two setups are completed, the guardian will receive an email/text each time an entry in made in CAASS that corresponds with the type of message the guardian requested.

How does CAASS get the email and phone numbers?
CAASS gets nightly downloads from ATS with primary guardian contact information including email and cell phones that are on-file. Information that is not stored in ATS can also be entered directly into CAASS as well.

I don’t use CAASS for entry scanning; can I still use it for parent notifications?
If you currently have a CAASS account but only use it to issue ID cards, you can still use CAASS for batch message blasts to send a message to a list of guardians.
However, you won’t be able to send any student specific attendance messages without implementing entrance scanning.

How can I determine if a message was sent?
The Guardian Communication report found in the Miscellaneous Report Section can be run to see who was sent a message.
